Preliminary Josephine County Fairgrounds Racing Track Day

    I am in total support for this Saturday and future events like this...!  Please let me know if there is anything I can do to help.  If the event is still on, I plan to be there to have fun and contribute.

    Thanks GPNate. Its still on, we need to be there for everyone planning to come that isn't on this forum to know what's going on. No new news from the fairgrounds other than they don't have a venue for us long-term. We'll get the track setup as much as we can, have some fun, then tear it all down.  Kinda depressing, but at least it will let us know if enough people are serious and if we should continue looking for a permanent solution.

    Please everyone, do still come out. Its important for us to know how many people are willing to support a full-time (hopefully indoor/covered) track.

    Looks like we are facing around $285 for the one day on liability insurance.  That would mean we need 57 people to show up (@ $5 per driver) just to cover our insurance.  So unless someone sponsors that for us or want to pay for it personally the event will have to be cancelled.

    This is more on the reasoning I have stated that the fairgrounds will not work since they do not carry there own policies anymore.  The cost for one day at $175 is already in the upper field of WAY to much since I have seen 80'X80' shops for RENT in the $500 month range.  Like I have said fella's we need to find some private owned land that is undeveloped that the owner wants to at least make some compensation off.

    We can't avoid the necessity of insurance. Yeah, $285 per day for ins. is a very large nut.
    Which got me to look at ROAR. Setting aside for the moment the rules requirements for sanctioned events... The Club/Track membership is $35 per year with a $70 fee to name the fair grounds (or property owner) as a co-insured. Plus every driver would need to be ROAR members at $25 (individual) and $35 (family) per year. This is a much smaller nut.

    I am not trying to be negative, but I am going to be beating on this for a while.  INSURANCE IS NOT NEEDED.  Only a waiver.  None of the people I know personally want to be a member to ROAR and support an idiocy of paying for something that you really can't use.  Read about what they do when something actually happens.

    But if you really think a waiver will stand up in court, you are sadly mistaken.

    Well in the case of the over 80+ races I have been to and two (2) people getting injured and trying to dock the waiver they have failed so I would say the odds are well in our favor.  If waivers did not work then basically walking into any business couldn't happen since they per your indication could be sued for anything that may happen.  So in that essence no Disneyland, six Flags, Caribbean cruises etc. etc.  Lets take for instance the few people a year that die from skydiving?  There have been many that have tried to sue the business for wrongful death and have lost.  Again this is something that wouldn't be possible if there was needed insurance to cover the person jumping, this is also why insurance do not even offer insurance to skydivers themselves.  Do your homework people, knowledge in it's entirety is key in all aspects of life,  The presence of some knowledge only makes someone else smarter than you, the absolute of knowledge makes you a leader.

    Insurance is probably dependent on the venue and the venue's owners.  In the case of the fairgrounds insurance is a requirement for all their events.

    I just returned from a meeting with them and event holders, us in this case, also have to insure employees and volunteers.  The liability insurance  must be for $500,000.00 per person and $1,000,000.00 for each occurrence.  Property damage liability must be for $500,000.00 for each occurrence with an aggregate for not less than $1,000,000.00 and fire liability shall be $100,000.00.

    So far I've gotten quotes from $285 to $450 for the single event day on the 17th.

    That's it - I am no longer going to support/encourage holding the event this Saturday. I am not willing to work with an organization that drops this kind of deal-breaker at the last minute. Sorry everyone :(

    I for one do not think you should be sorry, you have done what you can and things beyond your control have happenned.  Anyone know a good bashing spot we might all run to saturday or sunday?  It is supposed to be nice weather.

    Cynthia at the fairgrounds gave me information on a insurance company who works for the county.  Through that company it looks like I will be able to get insurance for $135 for the day on the 17th.  I spoke to Adam at Sleadd's and he spoke to the owner and they have committed to sponsoring us by picking up the insurance.

    Right now I am waiting for a return phone call from Cynthia at the fairgrounds to verify that the coverage we were quoted at the $135 cost will suffice for us.  If so I will pay the insurance and Sleadd's will reimburse me.  Then we are a go for this Saturday.

    Again not trying to be a negative Nancy, but you are not going to be able to build a track in one evening, and your still talking about a large sum of money for a turnout of what 15?

    From what I am reading, waivers are pretty effective. Even at things like baseball games, waivers for things like getting hit by a fly ball are an assumed risk. They don't even need a signature to win in court against someone suing over getting hit by a fly ball.

    Insurance is not needed and it isn't affordable for RC enthusiasts. I say screw it to the fairgrounds.

    I wish I could fit you guys on the track in my back yard but it really only fits 4 cars at a time. Plus is has a water feature some might not like in the middle that has claimed a few cars.

    So, since insurance is being required by the fairgrounds, and Sleadd's is willing to pick up that tab - we are back on track for a glorious one-day event. Yes, I'm being sarcastic :)) We will be starting work on the track tomorrow evening and into the early part of Saturday morning. We will not be able to provide a complete, cometition-type track - but we will do our best to make it as fun as possible. We will visit the possibility of persuing this idea further at another venue based on how many people show up and what their level of interest for a permanent track are. Because of the rollercoaster of frustration the faigrounds has presented us with, it WILL NOT be there!!!!! Still going to look around Josephine County for a new home for our track if enough people show genuine interest.
    BTW - the waivers do work and are valid and binding. Been through it before and have to say I like the way they work. They just are not meant to be used in commercial venues where corporations govern the use of the facilities (non-profit or not). They work great for individuals, organizations, and small businesses that otherwise cannot afford an insurance policy.

    Soooo, Saturday is on. Anyone able/willing to lend a hand in getting the track setup can contact myself or GPS through PM on this site. Bring shovels, rakes, golves, etc. if you can help!!!! Thank you all for your patience as we battle the powers that be :mad:

    We have pre-approval for the event this Saturday, December 17th, 2011, pending us getting insurance which we will be able to acquire via the company that insures the county.

    We were told that we can have access to the location Friday, December 16th, late afternoon until 8:00 PM to begin the track preparation and then from 7:30 AM Saturday, December 17th, before the event start at 9:00 AM to complete the track setup.
    If you are available and can come by and assist with the setup we would appreciate your help.

    The event will officially begin at 9:00 AM on Saturday the 17th and end no later than 4:00 PM.  The fee for all racers will be $5 each which will grant you access to the track for the entire day.  This fee is non-transferable.

    We hope to see you all there.  Bring your family and friends.  Once they try RC off-road driving they'll be hooked.

    I can be there Friday night to help setup and will definitely be there Saturday for the event.  Let me know if there is anything specific I should bring as far as tools go.  I should be able to round up a few helpers also.

    Just for everyone's information:
    The arena is all the way at the back, take the last alleyway to the left and there we are.
    OR go through the main gate, immediately turn left (where the fair sets up the rides), follow around to the back, and you'll see us.
